What affects the cost of a custom business app?

Cost follows the first version, not a generic “app”

There is no honest single price for “a custom app.” Two businesses can ask for software and mean very different first versions: a daily operations path for staff, a customer app people open on a phone, or a small product idea people can try.

Every project starts with a clear scope. After an initial conversation, we’ll recommend a practical first version and provide a written estimate covering the work, timeline, and any ongoing costs.

Features and workflows that affect the estimate

The largest cost driver is usually how many distinct jobs the first release must cover. One daily path — for example, raise an invoice and record a payment — is a different piece of work from also replacing every report, every notification, and every exception on day one.

Who signs in matters too. A tool one person uses is simpler than a tool several people use. The estimate rises when staff need different access — for example, someone who issues invoices should not necessarily see every property, and a customer should not see another customer’s records.

Device choice is another factor to discuss: some work belongs on a laptop, some on a phone. Phone and web can share one product so you are not building twice, but needing both on day one still adds design and testing. These are choices for the written plan, not extras that appear automatically.

Integrations and existing-data migration

Connecting to payments, GST billing, or other tools is real work when it sits on the daily path. That example shows the shape of an integration — not a promise that every project includes payments.

Moving records out of Excel or Google Sheets also changes scope. Fintrack includes import so people are not retyping older records. Import, cleanup, and matching existing columns are things we discuss before they go into version one. They are valuable when they unblock daily use; they add cost when they are added “just in case.”

What the initial build usually covers

The written estimate is the source of truth for your project. We do not treat a standard package as included in every engagement. In the conversation we typically decide whether version one should cover:

• The daily path people will actually use, rather than every possible report
• A written outline of that first release, then working screens you can review
• Sign-in and role-based access if more than one person needs the system
• Notes and access handed over at launch, in your name

Costs that may continue after launch

All engagements include 30 days of support after launch, with the scope agreed in writing. Beyond that included support, the estimate should say which ongoing costs apply to your project. The following are agreed separately:

• Hosting and related infrastructure (for example the platform that serves the app)
• Third-party services such as sign-in, email, payments, or a database, billed by those providers
• Maintenance: keeping the app running as those services change
• Optional ongoing support beyond the included 30 days
